Coalition of Oak Ridge Retiree Employees (CORRE) Board of Directors Meeting and Zoom Online Meeting
April 17, 2024

Attendees: Birk, Burton, Chilcoat, Cox, Hightower, Jessen, Kato, Kibbe, Lee, McRae, McSpadden, Petrie, Riggs, Shelton, Stocks, Whitehead, Whitley, Wasilko

• Call to Order by Whitehead

• March Board Meeting Minutes – Riggs, Approved

• February Treasurer Report – Petrie, Approved; As of April 15th, the IRS had not yet cleared our submittal and must be approved by the 20th; Petrie is monitoring closely; CORRE’s tax return to be filed by May 15th.

• Bylaws – (moved up on the Agenda due to time constraints) Shelton has sent Independent Financial Review proposed recommendations, conducted by Donna Cox, to the Bylaws Committee members and has asked for comments by April 30th. Action: Shelton plans to bring bylaw revisions to the CORRE Board for approval soon.

• Contractor Team Reports

• CNS – Whitehead sent requests for retiree Zip Code and other important data to the contractors, and he has received input from CNS; he expects other contractor input soon. Whitley has contacted Grooms, HR, Y-12 New Hope Center, for CORRE annual meeting space.

• Golden Services LLC – Burton reported a 6-month extension to the current contract.

• UCOR – Riggs requested information meeting with Hickey; slated for July timeframe. April 27th K-25 Reunion attendance is expected to grow; CORRE will volunteer a meet/greet table, awning (furnished by Whitehead), CORRE materials and newsletters, and CORRE will act as one of the sponsors of the K-25 Reunion and provide support in the amount of $100.00 worth of door prizes (invoicing/payment to be discussed later when finalized); Board members are invited to participate (bring your own seating); Food trucks, rented restroom facilities, music to be furnished; Parish to share attendance listing with Whitehead.

• UT- Battelle – Hightower reported the CORRE Board representatives will meet with UT – Battelle representatives on May 9. Whitehead created an outline of standardized requested Contractor information for requests to all sites.

• Committee (and Task Team) Reports

• Planning - Gibson on travel back to Oak Ridge from attendance at the South Carolina SRS Annual Retiree Meeting.

• Nominations – Wasilko reported current Board members will be surveyed for their intent to remain on the Board.

• Communications – see below.

• Website – see below.

• Improving Communications Task Team – McSpadden recommended elimination of the Improving Communications Task Team, which the Board agreed and accepted; He has sent in info to Byrd for substituting Birk’s picture and bio on the website to replace Paul Standifer. McSpadden reported getting with Byrd on mass mailings; he asked for comments on the May 2024 Edition of the CORRE Newsletter and received accolades for the professional newsletter; the Board voted to approve the Newsletter; McSpadden will send basic CORRE information to CNSCares for them to send in their bulk mailing and will have Terry post the approved Newsletter on the CORRE website. Action: McSpadden will bring Newsletter handouts to the K-25 Reunion. Whitley reported that Clinch River Home Healthcare recently had an estimated 300 people attend a luncheon and Quality Home Healthcare recently had an estimated 1,500 people attend their function at the Knoxville Convention Center. CNSCares will hold a Resource Fair, Lunch and Learn Event on June 13, 2024, at the Museum of Appalachia, 2819 Andersonville Hwy, Clinton, TN at 11:30 (lunch provided); RSVP to 865-432-2618; Whitehead will furnish table, etc., handouts/newsletters; Board members are invited to volunteer/attend.

• Other DOE Sites – Stocks plans a Zoom meeting with Labs across the United States, to be held in the ATLC Building (Whitley to share phone number/information.) Action: Stocks will send invitations to the Site contacts for Lab Representatives Zoom meeting.

• Governmental Relations – Cox reported work is continuing; Action – Cox will provide HR organization charts via email to Board members.

• Annual Meeting – McRae discussed the Pollard Auditorium is not available for our annual meeting due to Pollard remodeling. Whitehead has contacted Diane Grooms, Ellen Hawks/Vanessa Chandler to request the New Hope Center Auditorium, which also lends itself to various vendors/healthcare representatives to setup in the lobby area (may have to be on a Friday-hopefully around November timeframe). Action: Cox has a name provided to her from Dave Beck and will give it to McRae; Burton will give McRae a contact name for a large conference room in the building south of the Federal Office Building.

• Pension Fund Analysis – Whitehead reminded Board members to be on the lookout for Contractor annual reports.

• Bylaws – reported above, earlier in the meeting.

• Executive (Pension Increase Initiative) – Gibson updated inflation figures in the presentation package and Whitehead sent to the four legislative staffers for two Senators and two Representatives. Whitehead led discussion on latest communications with DOE/NNSA Oak Ridge Site managers and their representatives.

• Other Business

• Financial Advisor Appointment Still Needed – Whitehead working with Donna Cox on a replacement; Cox to furnish an information package/notebook of her annual reviews for calendar years 2019, 2020, 2021, and 2022 to Whitehead.

• Authorization of BOD Expenditures/Reimbursements – Petrie reported no new invoices submitted for approval; CORRE received ‘Qualified Organization’ approval letter.

• 2024 CORRE Annual Work Plan Status Review – Whitehead discussed work continues.
